DISCLAIMER

NORWAY
The weather in Northern Norway is extremely varied, unpredictable and fascinating. We have no control over it and cannot foresee how it will develop. The workshops are prepared in such a way that we have alternatives to the main programme. In the event of us having to make changes to the programme as a result of causes beyond our control, these alternatives are intended to be equally as good as the original. Arctic Image AS may decide to make small modifications of the content of the program. We will try our very best to follow our original programs, but from time to time it may be necessary to make changes.

ICELAND
Very much like Norway, you will a receive a PDF with info on suggested clothing and equipment.

OTHER COUNTRIES
You will be receiving a PDF with info on several subjects, amongst them, suggestions for clothing. We recommend you do some research on your own for the specific area we are visiting, in addiotion to the information you receive from us.

SAFETY

Everyone taking part in a workshop is responsible for their own safety. This means that participants must assess what is safe for themselves and what physical limitations they might have. The course management c/o Trym Ivar Bergsmo/Arctic Image AS can in no way be held responsible or liable for any physical or material damage which may occur on the way, during, or on the way home from any workshop/photo tour.

You must be in good physical and mental health. Any physical condition, diet, or treatment requiring special attention must be reported in writing when the reservation is made.

You must advise us in writing, at or prior to booking, of any physical, emotional or mental condition that may require professional attention during the trip or may require the use of special equipment. Please note our tours are not wheelchair friendly and sadly we cannot accept participants with such disabilities.

Arctic Image AS reserves the right to decline any trip participant whose condition, in our opinion, may affect the health, safety or enjoyment of themselves or other participants. Additionally, should a tour participant require or request medical attention during the trip, such attention will be provided by locally available health care officials and at locally available facilities. In such events, we will not be responsible for health service costs incurred nor in the quality of medical care or medical services rendered.


CONDITIONS OF PAYMENT

The prices listed are fixed. But if there is a unforeseen price increase on accommodation, rental cars, etc, we reserve the right to adjust the price if needed. You will be notified on e-mail about this


PAYMENTS

Due to the deposits we have to pay for hotels, rental cars, guides etc, a 30% deposit is required shortly after the booking to secure your space in the workshop.

A further 30% will be required 6 months before the workshop starts

The remaining 40% is due 3 months before the workshop starts.

Once payment is received (deposit), your space in the tour/workshop is secured. When signing up for the tour/workshop, you also accept the terms and conditions for the workshop/tour.

An invoice will be sent by mail.


CANCELATION

On registration you accept the following conditions:

Any cancelation 3 months prior to the workshop start, will be refunded 100% minus and administration fee of Nok 2000.

Any cancellations you may make later than 3 months prior to the (workshop’s) starting date, will result in you being charged the following:

60-90 days
75% of the total fee of workshop/tour will be charged

30-59 days
75% of the total fee of workshop/tour will be charged

0-29 days
100% of the total fee of workshop/tour will be charged

Sometimes the registration date is set closer than 3 months before workshop start. On these workshops the following regulations apply:

45-60 days
You can cancel for free, until 6 weeks prior to workshop start.

0-44 days
100% of the total fee of workshop/tour will be charged

WE RECOMEND THAT YOU WAIT TO BOOK YOUR PLANE TICKETS UNTIL WE HAVE CONFIRMED THAT THE WORKSHOP WILL GO AHEAD AS PLANED.


We reserve the right to cancel a workshop if the number of bookings are too low. Participants will be notified by mail.

In the event of us canceling a workshop, your entire deposit and final payment will be refunded.

We strongly recommend the participants to purchase of independent trip cancellation insurance.

Arctic Image AS will not be responsible for any expenses incurred by participants in preparing for the trip including Visa and Passport applications, non-refundable airline tickets, New purchased clothing and other related expenses.

CORONA: The workshop will conducted within the regulations and directions from the Norwegian Ministry for Health and Care. If the workshop has to be canceled due to Corona, you will get your deposit and remaining payment for the workshop fee, refunded.

Arctic Image AS will not be responsible for any other kinds of refunds related to the expenses you as a participant have had in preparing for the workshop.


NO SHOW OR DELAYS

In case of no show your total fee will be charged.

Since many of the workshops/tours are organised in the arctic, we are familiar with rapid changes in weather conditions, closed roads and airports etc. This happens from time to time. In these situations you might have to organise and pay for your own transportation to catch up with the workshop/tour, if it is possible or we are not able to pick you up.


OTHER RESTRICTIONS

Minimum age for a participant is 18 years.

Participants are not allowed to organise, host, promote or sell workshops or photo-tours to locations they have visited with Arctic Image AS within 3 years of joining a trip. In case of violation a penalty of Nok 50.000 is applicable.

You are allowed to bring one suitcase and one photo-bag. This is to secure that we can bring everyones luggage while traveling around in remote areas with smaller vehicles.

TAGGING OF IMAGES

Due to the wear and tear on the fragile Arctic landscape we encourage the participants on our tours and workshop NOT TO TAG their images with SPECIFIC PLACE NAMES. Please use general references. Refer to regions rater than to places, islands, etc. In the end this will help protect our environment which we all depend on.

SAFETY PRICIPLES

Since some of the locations we visit have a certain level of danger, it’s important that you ALWAYS follow the instructions of the workshop/tour leader.

  • Follow the guidelines given to you by the leader upon arriving at a location.

  • Use common sense/ sound practical judgement for every location

  • Always ask if you are uncertain or have any question.

  • We operate with a safety first principle, no picture is worth severe risk!

  • NEVER wander off alone. Consult the tour leader if you want to go further away.

  • Bring fully charged phone in case of emergency.

  • Update travel insurance and bring contact information to next of kin and physician/medical clinic.

  • We have HSE systems and measurement plans for emergency situations if they where to happen.

At the end of the day, we’re all here to enjoy the nature, enhance our photographic skills and have fun. being said, all activities involve a degree of risk in the sense of walking on slippery ice, being at beaches with odd rough waves etc. In general, natural events outside of our control - but with safety in mind, all perfectly safe activities.
